Overview
Role Purpose To serve as the operational backbone of the Manchester office, ensuring the seamless delivery of administrative functions, supporting compliance with financial regulations, and maintaining a high-performance environment for advisers and clients. Key Responsibilities Operational Leadership: Manage day-to-day office operations, including facilities management, health and safety compliance, and liaison with external vendors (IT, maintenance, and landlords). Financial Administration: Oversee office budgets, manage petty cash, process invoices, and support the finance department with basic bookkeeping or expense tracking. Compliance & Data Governance: Maintain client registers and internal tracking systems (e.g., Salesforce or True Potential) while ensuring strict adherence to UK GDPR and financial industry standards. Staff Coordination: Supervise administrative staff, coordinate onboarding for new hires, and manage internal communication protocols. Client & Executive Support: Provide high-level administrative support to Directors and Financial Advisers, ensuring a premium client experience through efficient meeting and travel coordination. Required Skills & Experience Industry Experience: Proven experience in office management within Financial Services (IFA or Wealth Management preferred). Technical Proficiency: Advanced skills in Microsoft 365 and familiarity with financial CRM systems like Salesforce or True Potential. Discretion & Professionalism: High level of reliability and discretion when handling confidential client and corporate financial data. Leadership: Strong interpersonal skills with the ability to lead, coach, and motivate a small administration team. Communication: Excellent verbal and written skills, capable of engaging at board and senior management levels. Qualifications (Preferred) A degree in Business Administration, Finance, or a related field. Professional management certifications (e.g., ILM, CMI, or membership in the Institute of Administrative Management (IAM)). Foundational knowledge of financial products such as pensions and investments. u
